The Legal and Legislation Division is a critical partner to DEECA’s policy groups responsible for designing and delivering services and programs to optimise success, minimise risk and deliver on government objectives.

This is a 12-month fixed term role to support the Division and contribute to developing innovative operational processes within a supportive team culture and dynamic work environment.

About the job

Reporting to the Legal Operations Manager, the Senior Legal Operations Adviser plays a critical role supporting on the delivery of an exciting, strategic roadmap for the Legal and Legislation Division that will optimise business processes and systems, drive sustainable work practices, empower our people and amplify strategic impact.  The role supports the delivery, sequencing, planning, development and continuous improvement of practice management and operational activities and projects, and is responsible for supervising other legal operations team members on discrete sub-streams of work.

You will be involved in driving meaningful digital transformation to enhance the important strategic objectives of the Division and will work with a talented and supportive team who will help challenge you to learn and grow in an exciting, evolving environment.

The role will be responsible for supporting:

  • Delivery of the Legal Operations mandate and roadmap through strategic and operational business planning and implementation, project and change management, data capture and analysis, and team supervision, while contributing to capability uplift and continuous improvement
  • Drive workstreams for the implementation of the Division’s new end to end matter management solution and embed change management for users to the solution
  • Improve operational practice management within the Division and identify and implement related systems, processes, reporting tools and technologies
  • Processes to embed the mechanics of an information governance and knowledge management framework, including progressing the Division’s work on its AI policy and supporting appropriate use cases of CoPilot
  • effective functioning of the division by delivering improvement, innovation and best practice initiatives under direction of the Legal Operations Manager.

Specialist/Technical Expertise/Qualifications

  • A bachelor's degree majoring in business, commerce, information technology or law required AND 4+ years experience working in legal operations or legal practice management within a legal or regulatory environment such as a law firm, in-house practice, technology vendor or consultancy OR in business operations and transformation with demonstrated experience within the Legal industry required.
  • Project management qualification and demonstrated project management skills (in particular, in Lean, Six Sigma, Agile or similar continuous improvement methodologies) with ability to independently take ownership of projects required.
  • Strong proficiency in the full suite of Microsoft 365 tools – in particular Excel, PowerBI, SharePoint and Power Automate – required.
  • Experience conducting and supporting workshop facilitation, working with document management, case/matter management systems and other legal technology will be highly regarded.

This is a fixed term position available for a period of 12 months. The work location for this position is 2 Lonsdale Street, Melbourne with hybrid work arrangements available.
