The Legal and Legislation Division is a critical partner to DEECA’s policy groups responsible for designing and delivering services and programs.
This is a permanent ongoing position to support the Division and contribute to reforming and developing innovative operational processes within a supportive team culture and dynamic work environment.
About the job
The role will be responsible for supporting:
- Efficiency & practice operations – support the effective functioning of the division by delivering improvement, innovation and best practice initiatives under direction of the Legal Operations Manager.
- Delivery – Support practice management and divisional operational activities including mailbox management and governance, supporting the triaging and allocation of new work received, diary management for two Directors, records maintenance, onboarding and offboarding processes, high quality reporting, invoice management and contribution to projects geared at streamlining innovative, automated systems, processes and reporting tools.
Reporting to the Legal Operations Manager, the role will support practice coordination with a focus on:
- Playing a critical role in the effective functioning of the Department’s in-house legal team by supporting practice operations (governance of legal procurement and information and data management, generating quality and accurate reports, legal matter administration and general project support) and diary management supporting two Deputy General Counsels / Director, Legal and Director, Legislation.
- Supporting the implementation of process improvement initiatives
- Supporting good governance, innovation, digital transformation and simplification of systems and processes.
Specialist/Technical Expertise/Qualifications
- Demonstrated experience in a dynamic business support role to senior stakeholders, preferably within the Legal industry OR legal operations/legal practice business support, coordination or administration role within a legal or regulatory environment such as a law firm, or in-house practice required.
- Demonstrated experience supporting a senior lawyer or executive in an environment requiring management of competing priorities is highly desirable.
- Demonstrated proficiency using technology and systems in an office environment at an intermediary to advanced level, with demonstrated strong capability in SharePoint, Excel, Word and Outlook to store and present information effectively, is highly desirable.
- Strong interpersonal and communication skills including the ability build rapport and trust with senior level stakeholders.
- Strong initiative and continuous improvement outlook.
This is an ongoing position. The work location for this position is 2 Lonsdale Street, Melbourne with hybrid work arrangements available.
